Invite Your Team
Invite admins and staff, pick the right role, and confirm account setup.
This page shows you how to invite people to help run your brand. You do this as a Client Admin.
Working alone? You are already the Client Admin. You can skip this page until you hire someone.
Before you start
Have these ready:
The work email of each person you want to add
A decision on each person's role: admin or staff
Who does what: You send the invite. The new person finishes their own setup from the email.
Time: About 5 minutes to send an invite. The new person needs a few minutes to set a password.
Pick the right role
Give each person the smallest role that fits their job.
- Client Admin — can change settings, billing, products, reports, and the team.
- Client Staff — handles patients, visits, messages, and orders. Cannot change setup.

Send an invite
Open the Users card
Go to the Dashboard. Find the card titled Users. This card is on the Dashboard, not in Settings. You see your current team list.
Start a new invite
On the Users card, click Add (the plus button). An Add user window opens.
Pick the role
Click the Client Admin card or the Client Staff card. The invite form opens.
Enter their email
In the Email addresses field, type the person's work email. To add more than one, type a space or comma between emails.
Send the invite
Send the invite. You see a message that says Invitations sent. Each person gets a secure setup link by email.
Confirm they finish setup
Ask each person to open the email and set their password. Wait until they finish before you rely on them for work.
One person, one login — never share an account. Give each teammate their own invite so security settings and activity history stay correct.
Keep accounts healthy
Check the team list often. Keep each role matched to the person's job.
When someone leaves or changes jobs, update or remove their account the same day.
Make someone a Client Admin only when needed. Every admin can change billing, products, and settings.
Send invites a few days before someone's first shift. Then setup never blocks their first task.
Words to know

The invite email never arrived. What now?
Most missing invites are in the spam folder.
- Ask the person to check spam or junk.
- Confirm you typed the right email address.
- Send a fresh invite if the link was lost or expired.
Should this person be an admin or staff?
Match the role to the pages they need.
- Needs Settings, Billing, Products, or Reports? Choose Client Admin.
- Works with Patients, Messages, Visits, and Orders? Choose Client Staff.
- When in doubt, start with staff. You can promote later.
Can a staff member invite someone?
No. Only a Client Admin can invite or manage accounts. This limits who can add new accounts to a few trusted people.
Do I need their name and phone number?
No. You only need their email. The person adds their name and phone when they set up their own account.
